General Terms & Conditions of Business
The following terms apply to Weddings and Special Events.
Once you have received our quotation for your event and accepted the terms, we will provide you with written confirmation of the date and agreed terms.
25% of the overall fees will then become payable with your booking subject to a minimum of £300 and this is a non refundable deposit should you cancel your order. The balance will then become payable 45 days before your event date or in full if your event is within 45 days of your booking.
Methods of Payment
Payments may be made by credit card or debit card or by Internet transfer, the account information will be shown on your order confirmation and sales invoice.
Attendance & Filming
Once we have confirmed your booking, we will make our plans for travel and attendance of your special event. If your event is 100 miles or more from our base, we will usually travel the day before for the avoidance of any risks from traffic delays etc.
We will cover all fees to churches and venues for licensing of our filming services.
Studio Production and Delivery of your Film
Social Media Edits are usually produced within 24 hours of the event and sent to you via Wetransfer or uploaded to Vimeo with a link for you to share and download with your family and friends. The main edits are produced within 10 days and sent to you via Wetransfer or Vimeo.
Devon Studio: 60 miles of return travel from Dartmouth is included in your quotation and package, any excess mileage over this amount shall be a chargeable addition which will be added to your order. The current chargeable mileage rate is £0.45 pence per mile.
Hampshire Studio: 60 miles of return travel from Southampton is included in your quotation and package, any excess mileage over this amount shall be a chargeable addition which will be added to your order. The current chargeable mileage rate is £0.45 pence per mile.
The Special Moments Film Company takes its responsibilities very seriously and we undertake our business in a professional manner, building in provisions for the avoidance of potential operational issues. We carry spare equipment and at the time of planning, we make an operation plan to ensure we offer you the best service for total peace of mind. If we decide to travel the day before your event to ensure you total peace of mind, especially if weather or any other contributory factors are present at the the time, we will negotiate the cheapest accommodation rate. We cannot however accept liability for delays as a result of road accidents or other unavoidable situations which may delay our arrival. We aim to be at the location of filming at least two hours prior to the start of scheduled filming – this time is not chargeable.
Special Arrangements for the use of Helicopters and Drone Filming
If the use of our helicopter is approved at a location you have requested, you will be assigned a designated person who will deal with the safety of the aircraft in and out of the location and access to the machine whilst it is on the ground in accordance with the approved flight agreement. No other persons are permitted near the aircraft during take-off or landing. We will deal with all permissions and approvals for the operations. Our helicopters are fully Insured and Licensed by the CAA for passenger carrying work.
Drone Filming Operations
If Drone filming has been approved for your event location, the Drone Pilot will brief a person within the organisers group who shall be assigned as a liaison between the organisers and the pilot. It must be clearly understood and agreed that all instructions of the Drone Pilot must be adhered to whilst the flight is taking place. Our Drone operations are fully Insured and Licensed by the CAA for Aerial work.
